What are Best Practices for creating Groups and Goals in x2VOL?

The groups and goals in x2VOL are customizable by school. They should be set up to meet your tracking and reporting needs. Please contact your x2VOL Account Manager to discuss your setup as needed.
x2VOL Group and Goal setup Best Practices
GROUPS
1. Create a Group for every grade level and title it "Class of 20--". The group type should be: Mandatory Group type. Do not select the option to Verify Membership for these grade-level groups.
Why are these groups important? Students will be categorized by grade level in these groups. They do not have to change groups each year unless they are retained. You can pull reports by grade level once you have these set up. You can also archive the group once they graduate. This keeps the account clean year over year.
Students are required to belong to one Mandatory Group in a school. They cannot belong to more than one Mandatorydaotyr group at a time.
2. Create Club groups for each school year with the title "NHS 2026-2027". The group type should be: Clubs/Courses Group type. Select Verify Membership only if you want to monitor which students are joining the group in x2VOL. This will require you to verify their membership as they join.
Archive the annual club groups each year and create new ones for the club each school year.
Club groups are optional for students. Students can belong to multiple club groups.
GOALS
Goals can be created under a Class of group and/or under a Club group. This depends on your tracking and reporting needs.
1. Create a goal for the time frame of your requirement. For example, if you want to track students earning 10 hours within a school year, you will create the goal for 10 hours for the date range of that school year. You can clone goals within a group and update the title and dates for the following year.
You can create multiple goals within a group as needed for your program.
2. Goal Settings
Automatically assign? Yes/No - select yes if you want the goal to be for all students in that group; select no if you want to assign specific students to this goal you are creating.
Allow double-dipping? Yes/No - this only matters if your students will have more than one goal at a time. Keep it as YES if they only have one goal at a time, this is the default setting. If your students will have more than one goal at a given time, decide if you want the hours in the goal you are creating to double-dip with other goals or not.
You can archive annual goals within the group when you are done with them or you can leave them to show the progress to students on their dashboards from past years.
